Job Description:
As a Facilities Coordinator, you will play a critical role in supporting the planning and management of the school's strategic asset management plan. You will ensure all facility operations align with organizational policies and company-defined processes. This role involves overseeing multiple areas related to school facilities, ranging from maintenance to security and requires excellent organizational and management skills.
Key Responsibilities:
• Support Strategic Asset Management Planning:
o Assist in the planning and administration of the school's strategic asset management plan.
o Improve asset management systems to comply with organizational policies and processes set by the company.
• Supervise Facility Teams:
o Oversee the work of various departments, including building technicians, school transportation services, drivers, housekeepers, gardeners, and security personnel.
o Manage the booking and utilization of school assets such as vehicles and meeting rooms.
o Supervise the work of contractors and ensure their performance meets required standards.
• Facility Maintenance and Inspections:
o Manage the inspection of buildings and facility-related systems, including elevators, automatic doors, fire protection systems, CCTV, and swimming pool systems.
• Asset Usage Reporting:
o Prepare data and reports on the usage of school assets in different categories for presentation to the organization's Asset Management Committee.
• Daily and Weekly Data Collection:
o Collect and organize daily and weekly operational data for submission to senior management.
• Liaison and Follow-up:
o Coordinate and follow up on meeting outcomes to ensure responsible parties report progress according to the committee's resolutions.
• Other Related Duties:
o Undertake additional tasks as assigned by the supervisor in line with the facility management needs.
Qualifications and Expertise:
1. Bachelor’s degree or higher in Industrial Engineering, Civil Engineering, or Electrical Engineering.
2. Over 2 years of experience in a similar position.
3. Experience with building facilities management, building systems
4. Proficiency in standard computer software (Word, Excel, Outlook); knowledge of AutoCAD is a plus.
5. English proficiency.
6. Strong management and leadership skills.
7. Resourceful, proactive, and dedicated to achieving high standards of work.
8. Strong sense of labor discipline, good health, and a commitment to long-term employment with the company.
9. Strong organizational and multitasking skills.
10. Experience in facility management or related fields.
11. Ability to manage diverse teams and coordinate across departments.
12. Proficiency in reporting and presenting data to senior management.
13. Familiarity with building systems such as elevators, fire protection, and security systems is an advantage.
